Zoom: Use RIC Web Portal to Schedule open meeting w/o host joining

You have the ability now to schedule Zoom meetings where student join before the host joins the meeting. The host does not even have to join the meeting. You can create open Zoom meetings for the entire class to have a place to come together online to socialize. You can also create open Zoom meetings for your student groups.

You have the ability now to schedule Zoom meetings where student join before the host joins the meeting. The host does not even have to join the meeting. You can create open Zoom meetings for the entire class to have a place to come together online to socialize. You can also create open Zoom meetings for your student groups.

1. Go now log into your RIC Zoom Web portal. There are two ways.

Option 1 - In your Microsoft 365 account, click the App Launcher, select Zoom@RIC and then click the “Sign in” button.

Option 2 – go to https://ri-college.zoom.us and then click the “Sign in” button.

2. On the left-hand navigation, click on “Meetings”.

3. Click “Schedule a New Meeting”.

4. Please do the following.

a. Enter in your topic for the Zoom meeting.

b. Turn on “Recurring meeting”, click the down arrow and select “No Fixed Time” (This will allow them to enter the zoom meeting anytime they want as many times as they want.

c. Turn off “Waiting Room

d.  “Allow participants to join anytime

5. Click “Save”.

6. Click “Copy Invitation”.

7. Do one of the following:

Email Link to your participants – Click “Copy Meeting Invitation” and then email the information to your participants. Your participants will now be able to join the meeting at any time before you join or without you ever joining the meeting.

Place information in your Blackboard course

a. Highlight the information from Topic down to the Passcode.

b. Click the “x” in the top right corner of window.

c. Open up Microsoft Word and paste in the Zoom meeting information and then place your insertion point at the end of the Zoom meeting link and press “Enter” on a PC or “Return” on a Mac. This way the link becomes a hyperlink.

d. Highlight the information and then copy the information.

e. Go to the location within your Blackboard where you want to place your Zoom meeting information.

f. Hover over “Build Content” and select “Item”.

g. Enter a name.

h. Paste in the Zoom meeting information in the Text box.

i. Click “Submit

j. Your participants will now be able to join the meeting at any time before you join or without you ever joining the meeting.
