Access and Sign-On to Workday

Summary

This article documents the process on how to find/access Workday and login using RIC SSO (single-sign-on) credentials.  Workday is the new ERP (Enterprise Resource Planning) system being used for the State of RI for time entry and benefits information of bi-weekly employees.  In addition, employees in Accounting, Payroll, Purchasing, and Human Resources may access and use Workday as part of their normal assigned job responsibilities.

This article explains how to access Workday and sign in using your RIC M365/SSO (single sign-on) credentials. Workday is the new ERP (Enterprise Resource Planning) system for the State of RI, used for time entry and benefits information for bi-weekly employees. Employees in Accounting, Payroll, Purchasing, and Human Resources can also access Workday as part of their job duties.

Access and Sign-In to Workday

Workday is set up as an SSO (single sign-on) application, allowing you to use the same username and password for Microsoft 365 and other college applications. The easiest way to access these applications is through the Microsoft 365 My Apps web page, found here:

Single-Sign-On Authentication

A single-sign-on (SSO) account lets users log in to multiple applications with one set of credentials, making the authentication process easier. Your RIC M365/SSO Account, provided by Microsoft 365, enables this secure feature. You will use the same username and password for Workday as you do for Outlook e-mail, Blackboard Ultra, and other RIC online services, reducing the number of times you need to log in when switching between applications.

On the RIC branded Microsoft 365 sign-in page, enter your RIC M365/SSO Account assigned by the college, usually formatted like your RIC email address. For example, an employee might log in with flastname_1234@ric.edu.  Then, select the Next button.

After entering your username, type in your RIC M365/SSO Account password, and then select Sign in.

After entering your password, you may need to complete Multi-Factor Authentication. This added layer of security usually involves receiving a six-digit code via SMS text message to your mobile phone or receiving an Approval Request through the Microsoft Authenticator app.

Once authentication is complete, you will see the Microsoft 365 My Apps page. If your web browser has already authenticated your RIC M365/SSO account, you might not need to sign in again. However, kiosks designated for Workday time entry will always require sign-on and multi-factor authentication.

Accessing Workday after Sign-On

Workday State of RI ERP will be available on the Microsoft 365 My Apps page. The layout may vary for each user, you may need to scroll down the page to see it.  It's highlighted on the screen shot below.

Select the Workday State of RI ERP application to open it in a new browser window. If you are logging onto Workday on a personally owned or RIC assigned computer, you have the option to remember the computer or device.  Select the Remember This Device check box and then select Submit to continue.  If logging in from a time entry kiosk or a computer you don't regularly use, select Skip to continue.

After selecting the appropriate option you will be brought to the Workday home page, where you can then select the appropriate action.

Access Workday from Mobile Device

The process for accessing Workday State of RI ERP from a mobile device (phone, tablet, etc) is the same as the steps above.  Use the device's browser to navigate to the Microsoft 365 My Applications page, and then select the Workday State of RI ERP icon.  The pages will be formatted for navigation and viewing from a smaller screen.

Please Note: You may be presented with the option to install and use the Workday application from the Apple App Store or Google Play store when accessing from the web browser.  Workday State of RI ERP is not available using the Workday app.

Access Workday from MyRIC

A link is available in MyRIC to connect directly to Workday.  After logging into MyRIC, select the RIC Employee Homepage at the top left of MyRIC landing page, then select Workday.  The rest of the steps will be the same as those listed above.

Troubleshooting Sign-On Issues

Username/Password Errors


1.  Check the username you are using to log in - ensure it follows the correct format flastname_1234@ric.edu.
2.  If you have trouble with your password after several attempts, try resetting it.
3.  Ensure you can access the methods needed for multi-factor authentication.

Workday Sign In Error

1. If you experience a Workday Sign In Error as shown in the screen shot below, please contact HelpDesk@ric.edu so that Information Technology Services can coordinate with other members of the Workday ERP support team to validate your RIC account is setup properly in Workday.  This error usually occurs after a successful sign in to your RIC M365/SSO account when selecting the Workday app in Microsoft 365 My Apps or MyRIC.

Page Display Issues - Ad Blocking

If you notice unusual page display issues, please add workday.com to the "allow list" or "exempt list" your ad-blocking extension in your web browser, if you have one installed.  This includes popular ad-blockers such as UBlock Origin, AdBlock Plus, etc.  While no advertisements are shown in Workday, the functionality of the site can be affected by the methods that ad-blocking extensions work to limit the loading of certain types of resources on a web page.
