Introduction

This article explains how to access Workday and log in using your RIC M365/SSO (single sign-on) credentials at a kiosk for time entry. Workday is the new ERP (Enterprise Resource Planning) system for the State of RI, used for time entry and benefits information for bi-weekly employees. Employees in Accounting, Payroll, Purchasing, and Human Resources can also use Workday as part of their job. Kiosks are available in areas where employees who need to enter time may not have a computer at their desk or office.

Please note that this article does not provide details on the time entry process. It only covers logging in and out at a designated Workday kiosk.

Access and Sign-On to Workday

When using a Workday kiosk, it should by default present you with a RIC M365/SSO Sign-In page.

Please enter your full RIC M365/SSO account username then select next.  The format should be flastname_1234@ric.edu.

Enter your current password, and complete multi-factor authentication challenge.

Select No on the Stay signed in question page, since your login at the kiosk is considered a temporary session.

After a few moments, you will be brought to the Workday home page for RIC employees.  You are now ready to complete the time entry process.

Sign-Out of Workday and End Session

Once you have completed your time entry and saved all of your entries, you are now ready to sign out of your Workday session at the kiosk.  Signing out is especially important since multiple employees will be completing time entry using the kiosk.

At the top right of the web page, there is an End Session button.  Select this to start the sign-out process.

Select End Session in the Do you want to end this session box that is displayed to complete the process.

The kiosk will return to it's original state, and is ready for a new Workday session to be started by a different employee.

Troubleshooting Sign-On Issues

  • Check the username you are using to log in - ensure it follows the correct format for most employees flastname_1234@ric.edu. The e-mail address part is required.

  • If you have trouble with your password after several attempts, try resetting it.

  • Ensure you can access the methods needed for multi-factor authentication.
